Employee Messaging Maintenance
Employee Messaging allows the user to communicate with employees via a message on the Front End, text message, or email message. Front End messages are displayed when the selected user(s) Signs On or Clocks In. When using text or email messaging, Employee Messaging requires that the employees' cell phone and/or email address be set up in Employee Maintenance.
How to Create a New Employee Message
- In the Back Office, select Maintenance > Employee Messaging. The Employee Messaging Dialog will appear.
- To create a new message, select <New> from the Message drop down.
- Enter a description in the Description field. This is a basic description of the message which will be used to identify the message in the Message field. For example, "HAPPY BIRTHDAY JOHN!"
- In the Start Date drop down, select a starting date for the message to be deployed. Note that the message can be set for a start date, but will not be displayed until the employee has either signed in or clocked in, depending on the message display settings.
- Select your preferred option(s) for message display on the Front End:
- Show Message at Clock In: This option will display the message one time when the employee or employees clock in.
- Show Message at Sign On: This option will display the message one time when the employee or employees sign on.
- Message is Repetitive: This option will display the message every time an employee clocks in or signs on, depending on the message settings selected.
- Send One Time Email/Text This option will send a one-time email or text to the selected employees. This option will not display a message on the Front End but can be used in conjunction with the Show Message options described above.
- Select recipient(s) for the message:
- In the Classes list box select an employee class to receive the message. Selecting an employee class will send a message to all employees who are a part of that class. For example, selecting Cashier will send a message to all employees who are configured as a Cashier in the Class drop down of Employee Maintenance.
- In the Employees list box select an employee or employees to receive the message.
- Enter a message to be displayed on the Front End in the Message field.
- Click File > Save to save your new employee message.
