HotSchedules Export

• Completed setup of a HotSchedules account via HotSchedules Customer Care team (Users with existing HotSchedules accounts can also use the direct integration by allowing HotSchedules to update their account information)
• Setup of the HotSchedules tab in System Settings

1. Open the Back Office.
2. Click the Interfaces icon.
3. Click the HotSchedules Export option.
4. Enter a Start Date and End Date. The HotSchedules Export will run for the business day based on the day divide in System Settings.
5. Select the Export Type(s) you want to export or click the Select/De-Select All button to select all export types.
   • Employee Jobs - Exports the job code(s) assigned to the employee and any pay rate(s) associated with that job code for the selected date range.
   • Employees -Exports a list of employees' information from Employee Maintenance for the selected date range.
   • Labor -Exports employees' punch times for the selected date range.
   • Sales - Exports net sales for the selected date range.
6. Click the Export button to begin the Export. A success message will be displayed when the export has been completed.
   
   

Daily updated information can be shared between FuturePOS and HotSchedules by using Auto Report. When using Auto Report, set a date and time definition, once this is done the data will automatically synchronize. This information should be shared daily. Visit Scheduling Auto Reports for more information.

1. In the HotSchedules Export Maintenance window, Select All to include all Export Types.
2. Click File, and Auto Report.
3. Select the Use Calculated Day option and use -1. This will import yesterday and the current day's schedule. Click OK.
   
4. Set the end date, follow the settings shown below and click OK.
   

Users can add a Windows schedule to allow the HotSchedules Export to run on a regular basis. See Adding a New Windows Schedule for more information on creating a new Windows schedule.
