Reason Codes Maintenance

Reason Code Maintenance allows Front End users to select a predefined reason for various actions executed on the Front End, including discounts, payouts, ROA's, or voiding of items. Reasons will only apply to the action that they have been defined for.Users will also need to select the button function option to prompt the user for a reason when performing any of the transactions listed above.

  1. Open the Back Office.
  2. Click the Maintenance icon.
  3. Click Reason Codes Maintenance.
  4. In the Reason Codes Maintenance window, select the Discount Reasons tab.
  5. Beginning with Line # 1, enter a reason description in the Discount Reason Codes text field. You may enter up to fifty reason codes for each reason code tab.
  6. Click File > Save.

  • Discount Reasons will prompt the user to select one of the defined values on the Front End after selecting a button associated with the Discount Items button function. Some common examples of Discount Reasons:
    • Police or Fire Persons
    • Employee or Staff
    • Slow Service
  • Paid Out Reasons will prompt the user to select one of the defined values on the Front End after selecting a button associated with the Paid Out button function.Some common examples of Paid Out Reasons:
    • Office Supplies
    • Food
    • Petty Cash
  • ROA Reasons will prompt the user to select one of the defined values on the Front End after selecting a button associated with the Received On Account button function. Some common examples of ROA Reasons:
    • Juke Box
    • Facility Rental Deposit
  • Void Reasons will prompt the user to select one of the defined values on the Front End after selecting a button associated with the Void Line Item button function. The item must be processed (Send Order, etc.) before it can be voided. Some common examples of Void Reasons:
    • Slow Service
    • Burned Food
    • Manager Mistake
